Spaces, vaults and projects
How Kepos separates and groups knowledge: personal Space and organisations, vaults with their own members, projects across folders.
What it is for
Kepos organises knowledge on three levels. A Space is your personal area or an organisation. A vault lives inside a Space and has its own members and its own encryption. A project groups notes around one piece of work.
How to do it

Personal or shared
Your personal Space belongs to you alone. Organisations are shared with your team. Both appear at the top of the sidebar under “Space · Vault”.

Create a vault
“+ VAULT” next to “Space · Vault” in the sidebar creates a new vault. Who can see it is decided by its members.

Filter the view
The vault filter in the sidebar shows only the vaults you need right now. With nothing selected you see everything you have access to.

Organise
Folders apply within one vault. Tags work across all vaults. You can move a note to another vault; Kepos re-encrypts it on the way.

Create a project
Under “Projects” choose “Create Project”. You enter a name, a project tag and a purpose and pick the vault for the hub note. The hub note is the entry point to the project, for you and for your assistants.
What Kepos does in the background
The separation applies to every query: Kepos checks workspace and vault membership before it shows anything. An assistant only sees the Spaces and vaults you give it.
The report, the weekly balance and dreaming notifications only show changes in vaults you are a member of.
Common questions
Can my team see my personal Space?
No. Only you can see your personal Space. Knowledge for the team belongs in a vault of an organisation.
Why use tags when there are projects?
A project builds on a tag and adds a hub note with purpose and status. A tag on its own is lighter: a keyword that connects notes across vaults.
What happens when I move a note to another vault?
Kepos re-encrypts it for the target vault. From then on, members of the target vault can see it, members of the old one cannot.
